We are required by law to collect and hold ID for all of our clients, and to keep this updated. 

This needs to be provided before we can supply any services.

What documents do we need?

For Private Individuals & for Businesses we need:

  • Photo Proof of ID *
  • A document that can be used as Proof of Address – dated within the last 3 months.
  • A clear picture of yourself holding your Photo ID

*If you are resident within the UK and do not have photo ID: we will accept a copy of your Voter Authority Certificate. (Need one? Apply Here)

For Businesses we need this information for each director, partner, and person with significant control.

Two documents are required, one from each list (plus a Selfie of you holding your Photo ID).

1. Photo identification – Proof of identity. e.g.: 

  • passport or Irish passport card – these can be up to 18 months expired
  • identity card with biometric information from the EU, Norway, Iceland or Liechtenstein
  • UK biometric residence permit (BRP) – these can be up to 18 months expired
  • UK biometric residence card (BRC)
  • UK accredited PASS card
  • UK or EU driver digital tachograph card
  • UK, Channel Islands, Isle of Man and EU photocard driving licence (full or provisional)
  • UK HM Forces ID Card
  • UK HM Armed Forces Veteran Card
  • UK Frontier Worker permit
  • photographic work permit (government issued)
  • photographic immigration document
  • photographic visa
  • UK, Channel Islands and Isle of Man firearms licence
  • Employment identification card – subject to approval by us
  • Disabled drivers blue pass
  • UK Voter Authority Certificate (Need one? Apply Here)
  • another type of photographic ID listed on PRADO (opens in a new tab) – such as a National Identity Card (Pakistan), crew member certificate (South Africa), or Permanent Resident Card (USA)

2. Proof of address not older than 3 months (must show the person’s name and address) e.g.: 

  • Gas or Electricity utility bill – this must be for the person’s current address
  • Telephone bill 
  • Water bill
  • Mortgage Statement – this must be for the person’s current address
  • Rental Agreement – this must be for the person’s current address
  • UK local authority or social housing rental agreement – this must be for the person’s current address
  • UK council tax statement – this must be for the person’s current address
  • Bank / Building Society statement (includes credit card/ store card bill)
  • TV Licence
  • Financial statement (e.g. pension, endowment etc. – subject to approval)
  • Current benefit book
  • Letter from Benefits Agency
  • HM Revenue and Customs Notice of Coding 
  • Correspondence from Government Departments/Official Bodies
  • birth or adoption certificate
  • marriage or civil partnership certificate
  • non-photographic immigration document
  • non-photographic visa
  • non-photographic work permit

We reserve the right to request further documents if required

Non-UK customers – We may also require notarised or solicitor certified copies of your documents and a translation if not written in English. We will contact you if this is needed.  Please note we can not return the notarised documents to you.

Occasionally we may request that customers provide original documents by post for checking. Alternatively, you may provide copies of documents that have been correctly certified by a solicitor or notary public. Please post identification to us at our address below:

When renewing services we will review your ID documents and advise if these need to be updated.  We request updated ID annually.

Companies offering mailing addresses in the UK have to be registered and operate under the Money Laundering Act 2007 and any future updates to this act.  Our Anti-money Laundering Registration Number is: XXML00000141031.

Why do we need identification?

Before we can activate any service you have purchased from us we must first comply with anti money laundering (AML) regulations. These regulations require us to identify our customer before we enter into a business relationship. As soon as we have identified our client and other persons connected to the order, for example all directors and shareholders, we can allow our service to be activated. 

You may start using our address only when your account is in good standing. This means:

  • ID checks are complete: all requested identity, address and other verification checks for you and the relevant people connected with your account have been completed satisfactorily. Uploading documents alone does not mean the checks have passed.
  • The correct services are paid for: you have purchased and paid in full for the services required for each organisation, person and use of our address, and there are no other unpaid fees due on your account.or information is required. We do not send a separate activation email. If you are unsure whether these conditions have been met, please contact customerservice@ghostmail.co.uk before using the address.

Whilst this may seem like an onerous task, it should be viewed positively. You can have faith that we are registered with both HMRC and the ICO. We register every year with MLR to ensure we meet the government’s requirements.
